Order Entry Prompts for Changing Line Items and Billing Information

Order Entry Prompts for Changing Line Items and Billing Information

Release Date: 2/5/26
Version: 8.5 and above

The 8.5f.708/8.65.708 update to Order Entry forced the user to go to the line item screen and billing screen (if set up to do so) without a prompt if ship-to address, ship via code, terms code, or commission percentages are changed on the order header screen.

They would no longer be given the prompt "Any Change To Line Items?". This was done to force the accumulation of the amounts that are used in the calculation of taxes and commissions. This accumulation happens when the user exits the line item screen.

With this new change, the application no longer enforces going to the line item screen when the ship via code is changed if not using the Avalara integration. If using Avalara, changing the ship via code will force the recalculation of taxes due to the fact that the Avalara tax code associated with the ship via code (_GOODSERVICES attribute) may be different and may change the final tax amount. However, the user will be taken to the billing screen (if set up to do so) because changes to ship via code could result in changes to the freight amount for the order.

Also with this change, the terms code is not considered as changed unless the terms extra charge setting or extra charge amount/percent is different. This information is found in field 10 in Terms Code Maintenance.

For example, if the user changes the terms code from a terms code with a 3 percent extra charge to a terms code with no extra charge, an extra charge based on amount, or an extra charge with a different percentage, the application will consider this as a change in terms code and will force the user to go to the line item and the billing screen. The user will also be given the warning message  "This change in terms may affect misc charges for this order. Review the charges on the Billing Screen.".

The user should review the amounts in the billing screen because the miscellaneous charges amount may need to be recalculated due to the change in terms.
