Q - I am having trouble giving another user access to a certain spooled report. I am sure I am missing a flag somewhere. There is a deferred processing task set up to run Credit Card Log Reports each night to spooled reports. I changed the below flags for user LOGAN
In Spooled Reports Manager, he can get to see the AR – 2025 – 03 March folder where they should be saved, but there are no files there. He can, however, see the spooled copy of the Customer Invoice Posting Journals. What am I missing?
A - There are two areas you should check:
In
the Spooled Reports window, there is an All Users button. Logan needs to
click this to see all the reports for all users. Clicking it again will
turn it off so you can narrow down your list to only your reports. Below is an example for spooled reports for user EMK only:
After clicking on the "All Users" button, below is an example that shows all users:
(2) NTFS Security
The
other consideration is NTFS security. I don’t know if you implemented
NTFS security with your Elliott folder or not. If you did, then you need
to grant user LOGAN the proper NTFS security in the <Elliott>\Reports> folder in order to allow LOGAN to see other users’
spooled reports. In your case, you need to login as an Administrator or equivalent. Bring up Windows Explorer and go to the <ElliottRoot>\Reports folder. Find the corresponding company's AR folder (e.g., <ElliottRoot>\Reports\01\AR.) Right click on it and check the users who have security to access this folder. See sample screen below:

The above example show that all users (e.g., Everyone) can view and print spooled reports in the <ElliottRoot>\Reports\01\AR folder. But not all users can delete the spooled reports. If you want to grant user LOGAN security for all spooled reports for company 01, then grant the security at the <ElliottRoot>\Reports\01 folder level. If you want to grant security rights for all companies, then grant it at the <ElliottRoot>\Reports level. Grant just enough NTFS security rights on an as-needed basis to help protect from ransomware attacks.
Since you said user LOGAN can see the report of the COP Posting Journal, you should compare the NTFS security setting with the <ElliottRoot>\Reports\01\CP folder.
