Why Elliott 8.6 Does Not Prompt "Are Invoices Just Printed OK?"

Why Elliott 8.6 Does Not Prompt "Are Invoices Just Printed OK?"

Release Date: 12/15/2023
Version: 8.6 & Up

Q - When invoicing in Elliott 8.6, we noticed Elliott no longer prompts us with the question "YES/NO Did Invoices Print OK?"  Is there a setup flag we can turn on?  We really need the ability to respond, "no."

A - We did eliminate the "Are Invoices Just Printed OK?" question after invoices print in Elliott V8.6.  You can still void the invoice if you discover errors before posting.  Void Invoice can be accessed in two places:
  1. COP -> Processing -> Print Invoice -> Void.
  2. COP -> Utility -> Void Invoice
The reasons we eliminated this question:
  • To support invoice automation: In 8.6, you can configure Deferred Processing to print invoices automatically and email invoices to customers.  Deferred Processing is not interactive and does not support a user interface prompt to ask if the invoice just printed was okay.
  • To prevent fraud: A point-of-sale business transaction (counter sale) would allow an invoice to be printed and cash received, but by answering that the invoice print was not OK the order could be deleted or changed.  This "Void" feature is controlled from security setup.
  • To prevent file locking: In an environment where multiple users are printing invoices, if one user forgets to answer the question after an invoice is printed, it will prevent other users from printing invoices.
  • An invoice does not jam anymore: The original reason behind this prompt was because invoices used to be printed with multiple copies on dot matrix printers.  If the invoice form was aligned incorrectly or the printer jammed, the user typically had to re-print the invoices.  With all users migrating to laser printers, and since invoices can be printed to PDF and emailed, there are fewer and fewer reasons to continue to prompt users to answer this question.  Many Elliott users no longer print physical invoice copies.  This not only saves paper and trees, but also eliminates the need to store a hard copy of the invoice.
