Global Setup for Invoice Printing Time Release Flags

QIn Global Setup, Invoice Printing, can you tell me how #7 Time Release works (and #8 and 9), and also how #10, Use Ship Date to control Invoice Print works? See screen below:

  • 7. Turn On Time Release Order ?
  • 8. Latest Time For Release ?
  • 9. Add 12 To Release Time If Hours Entered <=
  • 10. Use Order-Ship-Date to Control Invoice Print

A - If you set "Y" to "7. Turn On Time Release Order ?," then there will be an extra field on the COP order header for “Release Time.”  See sample screen below:

You can, for example, enter a release time of say, 15 (3 PM), then during the pick ticket or invoice printing, it won’t be printed until after 3 PM. This can be useful in situations when a customer calls to order during the morning. They don’t want you to ship until in the afternoon because they still may add to the order (save freight). Say your UPS or FedEx pickup time is 5 PM and you may need at least 2 hours to prepare the picking and shipping, so you may set the release time to 3 PM as the latest cutoff.

For field “8. Latest Time For Release,” to follow up with our previous example, you can enter something like 15 so the system won’t let you enter an order with release time after 3 PM.

For field “9. Add 12 To Release Time If Hours Entered <=”, you can enter something like 6. So if you enter a value of 3, it will become 15 automatically. If you enter a 7, it will stay as 7. Elliott uses military time. So 15 means 3 PM and 7 means 7 AM. The value you entered is subject to the limit set in “8. Latest Time For Release.”

For field “10. Use order-Ship-Date to Control Invoice Printing," this is used for people who use “I” type of orders exclusively and thus use invoice as a pick ticket. If a customer places an “I” type of order with you, and they don’t want you to ship until tomorrow, then you can turn on this flag. Enter the ship date as tomorrow's date. Then during invoice printing (which is used as a pick ticket), this order will be skipped and will only be printed tomorrow or after.

If you use pick tickets for shipping, then field 10 should be set to “N.”  As you may know, the pick ticket uses the line item promise date (in some cases, the request date) to control the cutoff.
